eoa Annual Conference booking terms and conditions

1.0 Payment 

1.1  The Early Bird rate is applied to the first 200 tickets paid for. After this, it will increase to the standard rate across all ticket types. 

1.2  Payment can be made via credit card at the time of booking or invoice   

1.3  For payment by invoice, your invoice will be attached to the confirmation email. Payment must be made within 14 days to secure your Early Bird discounted rate.  

1.4  Payment terms are immediate for credit card payments or within 14 days for invoices raised.  

1.5  Payment of the conference ticket must be made in full for delegates to access the conference. 

2.0 Transferring tickets to colleagues 

2.1  Our system will not allow the ticket to be transferred so it will need to be cancelled and then the new attendee will need to register on the eo Hub. Email us to cancel.

3.0 Tickets are refundable subject to the following cancellation terms:  

3.1  A 50% refund will be provided for cancellations between now and Monday 2 September 2024 (12 weeks prior to the event). 

3.2  For cancellations made on or before Monday 14 October (6 weeks before the event) a 25% refund will be provided. 

3.3  For cancellations made after Monday 14 October we’re unable to provide a refund. 

3.4  Cancellation requests must be received in writing to our events email.

3.5  Cancellation of bookings shall only be effective on our acknowledgement of receipt of such cancellation. In the absence of such acknowledgement, the bookings in question shall be deemed not to be cancelled and refunds shall not be payable. 

4.0 Events outside of our control  

4.1  It may be necessary for reasons beyond our control to alter the content, the speaker, and timing of the conference, or the date or venue.  

4.2  In the unlikely event of the conference being cancelled, we will review the option to move the event to an alternative date and/or venue or offer a 100% refund if you are no longer able to attend. The eoa will not be liable to you for any other costs or losses, whether direct or indirect. 

4.3  Force Majeure. Should we be unable to perform any obligations under this Agreement due to causes or circumstances beyond our reasonable control, including any Act of God, war or threatened war, terrorism or threatened terrorism, fire, epidemic or pandemic, flood, drought, strike, lock out or actions of the venue/hotels, we will not be liable to you for this. 

5.0 Hotel accommodation 

5.1  Hotel accommodation with breakfast is included for the night of Monday 27 November within the price of the conference ticket. The eoa and Cascade Productions Ltd have secured hotel accommodation in hotels.

5.2  All accommodation was rated 34 star at the time of the T+Cs being written. Should individual hotel ratings change, this is beyond our control. 

5.3  For bookings with more than one delegate we will endeavour to host delegates in the same hotel, however this is not guaranteed. 

5.4  Delegates can not specify which hotel they stay in. 

6.0 Use of data 

6.1  The eoa take the use of data very seriously, please refer to our Privacy Policy for all the information.

7.0 Liabilities and Indemnities 

7.1  We do not represent or endorse the accuracy or reliability of any advice, opinion, statement, or other information displayed, uploaded, downloaded or distributed through the eoa Annual Conference 2024. You acknowledge that any reliance which you place upon any advice, statement, opinion, memorandum, or information shall be at your sole option, liability, and risk. 

7.2  You’ll need to comply with the rules and regulations imposed by any venue or hotel at all times. You’ll also need to ensure that you have your own insurances against any loss to your property you may suffer, or any loss or damage you may cause at the event, venue, or hotels. You shall remain fully responsible for such loss or damage, and you shall indemnify and hold us harmless against any claims. 

7.3  We request your support in making the eoa Annual Conference feel an inclusive and supportive environment for everyone. Any anti-social, harassment, or intimidating behaviour will be addressed and if required, may result in delegates being removed from the conference/site.
